Getting Started with Your Conference Room

Smart Systems conference rooms are designed to be easy to use. Here is a step-by-step guide that works for most setups.

Basic Steps

  1. Turn on the system — Press the power button on your Crestron keypad or Control4 touchscreen. The display, camera, and audio system should all power on automatically
  2. Select your source — Choose "Video Conference" or "PC" from the keypad or touchscreen menu
  3. Connect your laptop — Use the HDMI cable in the table box (FSR or similar) to connect your laptop to the display
  4. Open your meeting app — Launch Zoom, Teams, Google Meet, or your preferred platform
  5. Select the room's camera and microphone — In your meeting app's audio/video settings, select the room camera and microphone (not your laptop's built-in devices)

Audio Checklist

  • Verify the microphone is unmuted on the conference system
  • Ask remote participants if they can hear you clearly
  • If there is echo, mute your laptop's built-in microphone (use only the room mic)

Video Checklist

  • Confirm the room camera is selected in your conferencing app
  • Adjust the camera angle if needed (PTZ cameras can be controlled via Crestron or the camera remote)
  • Check that room lighting is adequate — turn on overhead lights for the best video quality

When the Meeting Ends

Press "System Off" on the keypad or touchscreen. This will turn off the display, camera, and audio system automatically.

When to Contact Smart Systems

If the system does not power on, if audio or video is not working properly after following these steps, or if you need the room reconfigured for a new conferencing platform.
